      No, only mailboxes that require stamping need to be licensed.

    • 5. What about aliases or shared mailboxes? Do they count?

    • 10. What is the difference between ExSign Cloud Signatures and ExSign for Microsoft 365 (Partial On-Premises Solution)?

      ExSign Cloud Signatures is a fully cloud-based solution managed by Hosting Controller, requiring no on-premises infrastructure. In contrast, ExSign for Microsoft 365 is a partial on-premises solution that requires at least one physical or virtual machine to host the central web portal/agent. This version is better suited for organizations that require greater control over data and prefer to manage certain components in-house for compliance or data residency purposes.

    • 11. What is the difference between server-side and client-side (Outlook Edition) signatures?

      Server-side signatures are applied after an email is sent and are not visible during the email composition process. In contrast, client-side (Outlook Edition) signatures are inserted directly into the email body as the user composes their message in Outlook, making them visible in real time.     • 12. Can user photos be included in email signatures?

      Yes, user photos can be included in email signatures. To do so, upload the user's photo to Microsoft 365, then insert the {{ThumbnailPhoto}} placeholder into the signature template. The placeholder will automatically populate with the corresponding user's photo in each email.

    • 13. Can ExSign be deployed to only specific users within a Microsoft 365 tenant?

      Yes, ExSign can be deployed to a limited number of users within a Microsoft 365 tenant. To do this, simply create a group within your tenant and add the desired users to it. ExSign will apply email signatures only to members of that designated group.

    • 14. Can users view their signatures while composing an email?

      No, in server-side signatures, a signature is added after an email has been sent; therefore, the sender cannot see the signature while composing an email. However, with the ExSign Sent Items Update feature, users can see signatures in their sent items folder.

    • 15. Can I create different email signatures for each department?

      Yes, you can create distinct email signatures for different departments within your organization. To insert distinct signatures for various departments, create different signature rules: each with Senders in specific Departments.

    • 16. Which email clients and devices are supported?

      ExSign for Microsoft 365 supports all email clients and devices on all OS platforms (including Android and iOS).

    • 17. Do users need to configure anything on their devices for ExSign to work?

      No user-side configuration is required. ExSign works entirely in the background, meaning IT admins manage everything from a central interface while users continue emailing as usual.
